Data-Driven ESG Management at Colruyt Group

Centralizing sustainability data for 100 users—eliminating manual Excel processes, accelerating data validation and consolidation, and supporting CSRD readiness.

Abstract

Colruyt Group selected the Board platform to transform its sustainability reporting and compliance processes. By centralizing data, automating workflows, and ensuring full auditability, Colruyt achieved faster, more accurate ESG reporting and seamless collaboration across teams. The scalable solution now underpins the Group’s sustainability accounting, supporting continuous innovation and evolving regulatory requirements.

Why this story matters

Colruyt Group’s sustainability journey demonstrates how structured, reliable data processes are essential for regulatory readiness and strategic transparency. By replacing fragmented Excel-based data collection with a centralized platform for gathering, validating, calculating, and consolidating sustainability data, the Group strengthened control, auditability, and collaboration across teams. This transformation ensures consistent, high-quality data as a foundation for CSRD-aligned reporting and long-term sustainability governance.

Key benefits:

  • Centralized and validated sustainability data collection
  • Reduced manual effort and spreadsheet dependency
  • Automated calculations and structured data consolidation
  • Stronger audit trail and improved data governance
  • Greater flexibility to adapt to evolving regulatory requirements

The Company

Colruyt Group, a Belgian family business spanning three generations, has evolved into a major retail organization operating across sectors such as grocery, pharmaceuticals, fashion, health, and more. With more than 33,000 employees in three countries, the Group continues to embody the hallmarks of its family roots—passion, expertise, simplicity, and efficiency, despite its impressive growth.

The Challenge: Turning sustainability commitments into measurable, compliant action

Committed to sustainable growth, Colruyt Group places a strong emphasis on health, societal impact, animal welfare, and environmental care. To meet increasing regulatory demands, such as the Corporate Sustainability Reporting Directive (CSRD), and to monitor progress across 8 internal Sustainable Development Goals, the Group required a transformative digital solution.

The Solution: A flexible platform enabling scalable and data-driven sustainability management

As part of its sustainability strategy, Colruyt Group sought a platform tailored to its unique requirements. The company chose Board for its flexibility and speed in addressing key business needs. Board’s comprehensive platform allows rapid customization while maintaining full functionality, making it the ideal choice for a scalable and cloud-based solution.

In the initial implementation phase which was completed within a short timeframe, Colruyt transformed previously Excel-based processes into an user-friendly and visually appealing tool. This marked the beginning of their “sustainability accounting” journey, focused on consolidating sustainability data rather than financial figures.

A key success factor was the close collaboration among Colruyt, Board, and implementation partner PlanPulse, who worked together to shape the ESG/CSRD reporting process. With no predefined market template to follow, flexibility was essential, and Board delivered the capabilities required to design a robust, future-ready framework.

The Benefits: Centralized data, efficient collaboration, and reliable sustainability reporting

Centralization and Efficiency

One of the primary outcomes of implementing Colruyt Group’s sustainability reporting and monitoring framework has been the centralization of data and a significant boost in process efficiency. The company now operates with standardized processes and master data, ensuring that all data definitions, workflows, and approval steps are clearly structured and easily accessible to stakeholders through the Board platform. This approach enables Colruyt to manage a fully integrated and collaborative process that engages a wide range of users within a single environment.

Ensuring auditability was also a key objective. By embedding the four-eyes principle, stringent data validation, and full traceability within the solution, Colruyt can guarantee that all reporting meets the highest audit standards. The successful completion of the 2023 CO₂ audit stands as tangible proof of the platform’s effectiveness and represents a strong business case for the Group.

Another major advantage lies in the solution’s flexibility. Colruyt’s ESG processes are designed to easily adapt to evolving internal goals and external regulatory changes—an essential capability in today’s dynamic sustainability landscape.

With Board’s functionality, we are transforming our sustainability processes to a true, value-adding collaboration. Our sustainability efforts are now both transferable and manageable.

Time Savings and Process Improvements

Another major achievement has been the significant reduction in manual effort and streamlining of processes. The new unified system has replaced countless Excel files and eliminated the need for manual data consolidation and translation. With end-to-end data traceability built into the platform, Colruyt can now meet audit requirements with confidence and transparency.

Through centralized data management and integrated workflows, collaboration across entities has become far more efficient, minimizing duplication of work and simplifying reporting. The results are clear—Colruyt achieved immediate success in its CO₂ audit and realized substantial time and resource savings across the organization.

Error Reduction and Data Reliability

A third major achievement has been the enhancement of data accuracy and reliability. The Board platform integrates built-in validation checks during both data entry and import, significantly improving overall data quality. All underlying assumptions are carefully documented and made accessible to auditors, ensuring full transparency and regulatory compliance. To further minimize errors, the solution applies the four-eyes principle, enabling Colruyt teams to review and validate data before it is finalized and shared with auditors. This structured approach reinforces the integrity and dependability of Colruyt’s sustainability reporting process.

User Acceptance

From a user standpoint, adoption was remarkably smooth. A carefully planned rollout strategy, combined with the platform’s simplicity, ensured minimal resistance during the transition. Built-in tooltips that explain key concepts helped users quickly grasp new functionalities, while Board’s intuitive interface further supported seamless onboarding. The Colruyt team has embraced the solution enthusiastically, reporting no issues or obstacles throughout the adoption process. Today, approximately 100 active users are already engaged in this expanding environment.

The flexibility of Board allows Colruyt Group to quickly adapt to changing regulations and new sustainability initiatives.

Outlook

While Colruyt Group has already implemented extensive ESG functionality, the company continues to pursue new sustainability objectives and reporting capabilities. Future plans include broadening the platform’s scope to encompass additional sustainability indicators—such as Nutri-Score, Eco-Score, and the protein transition—all integrated within the Board environment.

Another key focus area is the Due Diligence Directive, which will help ensure complete transparency throughout the value chain, covering aspects such as CO₂ emissions, water consumption, and human rights impacts. Colruyt also aims to enhance reporting on CO₂ Scope 3 emissions and the overall environmental footprint through more granular policies and impact analyses. To further strengthen data quality and insight generation, the Group plans to integrate external data from third-party sources, enriching its sustainability datasets and supporting a more comprehensive understanding of its value chain.

Partner Perspective: PlanPulse

Beyond the Board solution itself, the collaboration with PlanPulse has been a key success factor. Colruyt Group valued PlanPulse’s pragmatic, goal-oriented approach and “can-do” mindset, as well as the flexibility to align with the team’s agile way of working. The combination of speed, precision, and open communication enabled an efficient implementation and fostered a strong, long-term partnership built on trust, expertise, and proactive support.
